How to extract maintenance tasks from OEM manuals for PM planning
A manual is a source, not a ready-to-import PM programme. Extract its instructions with the assembly, interval, conditions, and source reference intact so an engineer can decide whether they apply.

Define the extraction target first
Decide whether you need a task register, interval schedule, procedures, parts list, or answers about one assembly. A focused target makes it easier to distinguish instructions from specifications, warnings, troubleshooting notes, and sales material.
Keep the original document version and equipment applicability with every extraction. Manuals often cover variants, optional equipment, or multiple configurations that do not all apply to the asset in front of you.

Capture the fields a planner needs
For each candidate task, capture the action, component or assembly, stated frequency or trigger, procedure text, parts or consumables, safety prerequisites, and source location where available. Preserve wording that changes the instruction, including conditions such as hours, temperature, contamination, or inspection findings.
Normalise labels only after retaining the source language. “Inspect”, “test”, and “replace if worn” are not interchangeable maintenance actions. A PM planner needs to see the difference.
- Separate mandatory instructions from recommendations and troubleshooting.
- Flag ambiguous intervals for human review rather than inventing a schedule.
- Keep tasks associated with the correct model, serial range, and attachment.
- Preserve safety warnings and required isolation steps.
03 / Method
Validate before publishing work
Compare extracted tasks against the original page or section, then check site conditions, access, skills, permits, and the existing maintenance strategy. A manufacturer interval may assume a different duty cycle or environment.
Use the reviewed extraction as one input to PM design. Work-order history, condition data, failure modes, statutory duties, and local procedures may add or change the final programme.
Example
Worked example: converting a lubrication instruction
A gearbox manual states: “Check oil level weekly. Change oil every 2,000 operating hours, or earlier in severe contamination.”
- Record two separate tasks: a weekly oil-level check and an operating-hours oil change.
- Keep the contamination condition with the oil-change instruction rather than converting it into a fixed interval.
- Capture the gearbox model, lubricant specification, safety steps, and the source page before a planner assigns labour and route details.
Takeaway: The extraction preserves what the manual says; engineering review decides how it becomes a site-specific PM task.

- Poor scans, tables, and diagrams need source verification.
- Never invent a page reference, interval, torque value, or part number that is absent from the source.
